Career Opportunity

Senior Secretary Part Time

1. Acts as personal secretary to manager over a cost center.

2. Handles communication and acts as receptionist.

3. Types and processes various materials.

4. Performs other duties as assigned.

Responsibilities

1. Keeps manager's calendar; sets appointments, makes arrangements and preparations for travel, conferences, meetings and special events; takes minutes or notes; transcribes correspondence and other material from recorded or direct dictation; composes and types correspondence.

2. Answers phone; refers, routes or places calls; greets and assists visitors, students, etc; provides policy or procedural information; receives, sorts and distributes mail.

3. Types various reports, memos and other materials; maintains various lists, card files, and other records; maintains confidential records.

4. In addition to the above, meets at least three of the following requirements:

a. Represents the hospital at various outside (community) functions and/or meets with groups or individuals from outside the hospital.

b. Monitors monthly budget report to assure spending is within established limits; assembles budget data and points out budget variances.

c. Operates a word processor/micro computer or other electronic equipment.

d. Routinely coordinates duties and activities of lower level clerical positions and/or volunteers.

Qualifications

High School diploma or equivalent is required.

1 - 2 years of related experience is required.
